    Position: Executive Assistant (Fixed term maternity cover)

    Reports to: Managing Director

    Location: St Albans


    SMG is seeking a sharp, experienced Executive Assistant to support our Managing Director.   This is a contract position for a year.


    Duties include, but are not limited to:


    • Extensive diary management
    • Arranging worldwide travel bookings and visas as necessary
    • Scheduling meetings and coordinating travel arrangements
    • Analysing incoming emails and requests to determine their significance and treatment
    • Completing expense reports
    • Sending out e-mails, letters and other business correspondence
    • Developing and disseminating various reports
    • Entering client information in contact database
    • Greeting and hosting visitors
    • Assisting with presentation development and proposals
    • Office management duties including stationery orders, managing various supplier relationships eg, landlords, facilities, photocopier, IT and telephone systems.
    • Supporting special projects or other office duties
    • Providing back-up support for other administrative positions, as requested.
    • Events management including working alongside our marketing department to organise and managing client conferences and seminars, as well as team build days.
    • Coordinating recruitment in the UK working alongside UK recruiters and American colleagues setting up interviews face to face and via Skype/Microsoft Lync, collating feedback, responding to emails and managing the recruitment database.
    • SurveyMini (SMG reward app), processing gift cards orders and handling mail outs.

    Occasional office support to VP, Client Services as well as other team members.


    The ideal candidate brings 2+ years Executive Assistant experience supporting a senior level director, as well as the following:


    • Bachelor’s Degree preferred
    • Advanced skills in Microsoft Office programmes
    • Superior time management, prioritisation and organisation skills
    • Strong communication skills
    • Excellent proofreading and editing skills
    • Extremely detail oriented
    • Works independently using excellent problem solving skills
    • Entrepreneurial self-starter attitude
    • Thrives in a fast paced environment
    • Experience with presentation development a plus
    • Experience with Microsoft CRM, ICIMS, SharePoint and Twitter a plus
